Vacancy Announcement – Administrative Coordinator, Environmental and Climate Justice Program

We are seeking a dynamic and motivated individual to support the objectives for one of the Association’s major policy advocacy, reform and public education programs: Environmental and Climate Justice, examining the impact of climate change on African Americans and other communities of color and working with communities to organize to advance social justice.
Summary of Duties: The Environmental and Climate Justice Administrative Coordinator will report to the Director, Environmental and Climate Justice Program. Job responsibilities will include the following: Manage multiple monthly and other meetings with duties including scheduling, securing space, notification and reminders to participants, taking minutes/notes, disseminating minutes to participants, ensuring all material, equipment, and technical support for meetings, etc. · Track and follow up on deliverables/action items from meetings · Staff external events/travel as necessary including training sessions, staffing booths at conferences, supporting all aspects of Annual Convention, and traveling with and supporting delegation for international travel to the UN Framework Convention on Climate Change · Assist with preparing and facilitating the execution of contracts · Coordinate logistics for trainings, summits, and other events, including staffing delegations on national and international travel, and developing after-event reports · Assist with management of Member Requests for Technical Assistance. Maintain a chart of all requests for technical assistance and help the Program Director to maintain communications and support with units in need of assistance.· Assist with maintenance of ECJ Webpage
(Maintain internal and external calendar of key climate change/justice related events; Collect and maintain easily referenced catalogue articles/research on climate change; Assist with maintenance of a database of environmental and climate justice organizations; Assist with interviewing NAACP members, allies and partners to develop stories/profiles to feature on the website for the promising practices and Featured Members sections of the ECJ webpage; Assist with updating the promising practices/models on community resistance, resilience, and local self-reliance section of the webpage; Maintain YouTube Channel)
(Prepare travel request forms, per diem request forms, car rental, and hotel reservations · Prepare expense reports and check requests · Prepare maintenance request forms · Collect information from members and others for various projects. · Develop monthly newsletter, as well as other special publications and reports. · Transcribe videos from member and partner interviews as well as events · Maintain ECJ Library · Other duties as assigned)
Qualifications: The ideal candidate for this position will posses many, if not all, of the following professional qualifications, competencies and personal qualities: Bachelor’s degree, some college coursework or equivalent experience preferred.· 3-4 years of administrative support experience, and knowledge of office procedures.· 3-4 years strong project coordination background with track record of managing multiple projects and events within given timelines. · Strong administrative, communications and organization skills.· Strong attention to detail and significant ability to multitask · Exemplary time management skills. Ability to work under pressure of time and urgent deadlines.· Ability to establish priorities and to plan and monitor own work plan.· Demonstrate a high degree of individual initiative and strategic approach to task. · Strong communication skills both written and verbal. · A working understanding of NAACP structure, policy, procedures and goals.· A passion for advocating for the creation of progressive policies and programs as well as for the elimination of social policies and practices that lead to racial and ethnic disparities.· Expertise in the Microsoft Office Suite, ideally including desktop publishing skills.· Ability and willingness to work beyond regular core business hours as needed.· Ability and willingness to travel upon request.
