Job Title: Human Resources Assistant

SUMMARY:
Primary assistant to support the functions of the Human Resources department. Provides senior level administrative support to Human Resource Manager. The Human Resources Assistant proactively assists with the administration of the day to day operations of the department’s functions and duties. Responsible for supporting overall Human Resource functions for IUPAT and associated funds, including benefits administration, time and attendance, employee communications, personnel file maintenance, general record keeping, preparing documents and special projects, as assigned.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Human Resource focal point for daily leave & vacation scheduling, tracking & reporting
- Monthly reconciliation of insurance premiums and invoices for Medical, Dental, Life, Short / Long Term Disability, and Prescription plans
- Proactive communication with employees, members, retirees, and health care representatives regarding benefit inquiries
- Maintain internal HR retention process. Complies with Federal, state and local legal requirements by following mandated policies and procedures as outlined by DOL, FLSA, HIPPA, ERISA, FMLA
- Maintains Human Resource database and records
- Prepares Human Resource reports by assembling and compiling data
- Maintains employee confidence and protects Human Resource operations by keeping personnel data confidential at all times
- Creates new hire orientation materials
- Process pre-employment background investigations and conducts reference checks
- Employment application & resume tracking, Benefit ,Terminations, Affirmative Action, Immigration and I-9 retention
- Update and maintain departmental Standard Operating Procedures
- Assist with HR staff training as needed
- Completes annual OSHA survey
- Elevate employee relations actions to manger as needed
- Employment verification focal point
- Focal point for Workers Compensation, Unemployment Claims, Life and Short/Long Term Disability
- Focal point for ordering supplies as needed
- Focal point for processing employee ID badges
- Maintain electronic and hardcopy employee files and HR filing system
- Make recommendations for policy/procedural changes where appropriate
- Develop communications – - i.e., benefits updates
- Assist Human Resource Manager with “Open Season” staff benefits communications
- Complete related tasks and/or special projects as assigned
SUPERVISORY RESPONSIBILITIES:
None.
AUTHORITIES:
As delegated by the Human Resource Manager.
QUALIFICATIONS:
Professional and customer service oriented. Excellent oral/written communication skills, strong organizational skills, ability to establish and maintain credibility and trust among staff at all levels. Ability to provide proactive communication and resources to Human Resource Manager as needed. Punctuality and good attendance is required. Professional appearance required. Intermediate to advanced knowledge of Microsoft Word, Excel, PowerPoint, email and database administration. Adobe 9 not required, but a plus.
EDUCATION/EXPERIENCE:
Bachelor’s degree in related field and / or a minimum of five years of HR generalist/administrative experience required. Five to seven years work experience required.

WORK ENVIORNMENT/PHYSICAL DEMANDS:
Working environment is professional. Duties and responsibilities are primarily performed while seated at a desk. Dress code is professional. Seven hour work day w/ one hour unpaid lunch. Work hours from 8am to 4pm.
PHYSICAL DEMANDS
Lifting of boxes may be required in the course of organizing and distributing work in the office.
