AREA OF CONSIDERATION: Authority Employees and Outside Candidates

As a member of the Board Office leadership team, the incumbent works for the Vice President and Secretary to the Board of Directors and with the Assistant Secretary to the Board of Directors to provide confidential organizational, operational and strategic support to the Board Office and Directors. Uses initiative and works independently to research and track issues, implement projects and manage programs to support the Board Office daily operations as designated by the Secretary. Develops and maintains relationships with Airports Authority staff, and other external contacts as needed, to respond to inquiries from Board Members, to assist in the preparation and review of Board papers and complete required projects.

The incumbent keeps the Secretary to the Board of Directors informed of critical concerns and deadlines and manages the primary administrative operations of the Board Office including preparation of the budget and preparation of communications, development and implementation of processes and procedures (manuals), and the management of Board systems related to recordkeeping, data base management and equipment maintenance. Additional responsibilities include coordination of Board events and Board sponsored activities; management of the Board Conference Room, office modifications, office hardware and software needs and contracts related to Board Office needs; and development or revision of existing Board Office operating procedures. This includes oversight for administering the Board’s Travel Policy, developing a system for tracking correspondence, and managing new Board Members orientation as directed by the Board Secretary.

Attends meetings, presentations, or other functions involving the Board of Directors and, as assigned, may represent the Secretary to the Board of Directors at such events and/or at Airports Authority staff meetings. Will ensure that Board Members and staff are prepared for such meetings or presentations, including preparation of any hardcopy or electronic materials.
Manages the administrative operations of the Board Office and provides guidance and direction to the secretarial staff for a seamless operation with high and consistent productivity, accuracy, timeliness and confidentiality standards. Office operations include reception assistance, telephone coverage, mail distribution, filing, typing, calendar/scheduling, travel and meeting arrangements, and other support activities.

Will perform managerial and supervisory duties in the context of coordinating activities of the Board Office secretarial staff provides. As necessary, drives an Airports Authority vehicle, airside as well as landside, to coordinate work activities with offices in other buildings and to attend meetings on and off airport property. Performs other duties as assigned

MINIMUM QUALIFICATION REQUIREMENTS: This position requires a Bachelor’s degree in Business or Public Administration, Communications, English, Government and/or Information Technology or a minimum five (5) years experience in project management with five-to-ten years in a senior office/facilities management or operations management capacity. Extensive experience drafting professional correspondence, reports, presentations and minutes with excellent written and verbal communications skills, strong organizational skills, including the ability to prioritize, to work under tight deadlines to successfully perform multiple tasks simultaneously, and to organize time effectively are critical requirements for the position. Additional requirements include proficiency in research methodology and current online and print media instruments; the ability to work independently and to use initiative and good judgment to resolve issues; and the ability to maintain confidential information. The preferred candidate must be a team player with the ability to work collaboratively with others to foster a positive working relationship with Board Members and staff, and to exhibit cultural sensitivity with a strong commitment to diversity. The candidate must have experience anticipating the needs of senior executives and planning time and materials appropriately. The capacity to recognize and abstain from any conflicts of interest is important to this position.

PREFERRED QUALIFICATION REQUIREMENTS: Graduate level college degree and mastery of MS Office Suite (Word, Excel, Power Point, and Access), data base management systems, and a strong understanding of standard operating systems used by businesses
