Group RentalsThank you for considering Trinity to host your group event. We have a variety of meeting and conference spaces available. Guidelines: For Your SafetyProgram Directors/Coordinators must submit published rules and policies pertaining to their program to Trinity’s Conference Services and Events Department prior to arrival. Program Directors/Coordinators are responsible for informing their program participants of Trinity Washington University’s rules, policies and procedures. Program Directors/Coordinators are responsible for identifying the sanctions to be applied and the procedures to be followed should an infraction occur. The Program Director/Coordinator must agree to take all necessary actions to address any issue of misconduct or unsafe behavior by program participants throughout their stay on campus. If assistance is required to deal with a problem, the Program Misconduct on the part of program participants, due to the failure to provide adequate supervision, will constitute a material breech of contract resulting in immediate termination. Program Directors/Coordinators must set curfew hours for each evening and will be held responsible for participants not observing the set curfew hours. At least one (1) adult chaperone must be present for each ten (10minor aged participants in all activities. ParkingConference Services will provide temporary parking passes for passenger vehicles. Buses and large vans must park in Lot 6. Check In/Check OutThe Organization must provide complete housing list(s) no later than 2 weeks prior to arrival. This list should include participants’ names, genders, single or double occupancy and check in/check out dates. Rooms are not guaranteed if received after the deadline. All guests must check out by 10am or a full day’s fee will be charges. No personal items may be left in the room. The Program Director/Coordinator or designee must be available throughout the check-in process to act as a referral for problems, answer questions and provide verification of participants. The Program Director/Coordinator will sign for and pick up the group’s keys at a designated location to be disseminated during the check in process. Once received, the program director/coordinator will be responsible for the keys until checkout. All housing problems (repairs needed, linen needs, etc) should be communicated directly to Conferences and Events during working hours or to the Department of Public Safety after hours. All keys must be returned to the Security Dispatch Desk upon check out. In the same manner received. A restocking charge will fee will be assessed for keys not returned in manner received, not returned to the proper location or lost. BehaviorDisorderly Conduct: Disorderly conduct such as excessive noise, rowdiness, or engaging in conduct that poses a threat to the safety and well-being of others will not be tolerated and may be grounds for program termination. Alcoholic Beverages: Alcohol consumption and illegal drug use is prohibited in any building or property owned by Trinity. Smoking is prohibited in all buildings on campus and is only permitted in designated areas. (Kerby and Cuvilly parking lots) |
